Minimum fields that keep the workbook joined up
Give every pursuit a stable bid ID and use it across the workbook. That lets filters, counts and lookups select the same tender without relying on slightly different titles.

Avoid storing sensitive personal or security information unless the business has an appropriate reason, access control and retention process. Link to controlled source files rather than copying everything into the workbook.
Make the dashboard answer five questions
- Should we bid? Show the authorised decision, mandatory gate state and unresolved conditions.
- What must we supply? Count applicable requirements by status and surface any mandatory blocker.
- Who owns each part? Show overdue, blocked and unassigned response tasks.
- Are proof and price ready? Flag missing or expiring evidence and the current approved pricing scenario.
- What blocks submission? Bring compliance, task, commercial and approval blockers into one short list.
A dashboard should preserve uncertainty. Blank evidence, unresolved gates and unapproved pricing should remain visible rather than being treated as zero risk or complete.
Excel controls worth building deliberately
- Use Excel tables so new rows inherit validation, formulas and filters consistently.
- Restrict status fields to short controlled lists rather than free-text variations.
- Separate input cells from calculated cells and protect formulas where practical.
- Calculate margin from selling price and cost using an agreed internal definition; do not confuse margin with markup.
- Use real date/time values and display the relevant time zone beside deadline fields.
- Flag expiry and overdue items only when the underlying date and applicability are present.
- Include a “last reviewed” value and named reviewer for decision-critical sections.
- Test formulas with blank, zero, negative and unexpected values before using the workbook on a live response.
Formula results are prompts for review, not procurement, financial or legal decisions. Keep the assumptions visible and obtain qualified advice when the tender or proposed contract requires it.
